My friends keep asking me how to share Outlook contacts. Most of them would like to know how to create a common calendar folder that would be accessible for all users in their network. Such public folder enables sharing Outlook contacts with others. Is it actually possible to set a group calendar in Outlook?

The answer is yes. But it all depends on how big is your budget. If you work in a large office with a lot of employees, you might consider deploying Microsoft Exchange Server in your organization. If not, a third party tool for sharing Outlook contacts will be the right choice. CodeTwo Public Folders is a cost-effective Exchange Server alternative.

Let’s pinpoint the productivity aspects of deploying a group calendar on Microsoft Exchange. Should you already have or administrate an Active Directory domain and want to learn how to strengthen its productivity potential, this information is accurately for you.

Many significant organizations function inside an Active Directory domain. Individuals have their laptops connected with a Windows web which is centrally taken care of by a system administrator. Firms using this IT system are helped by a variety of IT system management functions. For example, you may deploy group policies to end-users or install tools without any end-user interaction.

Besides the fact that Microsoft Exchange Server’s chief role should be to control the mail flow in the institution, it will also simplify web-based collaboration. For illustration users can share calendars, duties, contacts, or other Outlook items by way of Exchange public folders. It is also a good place, where the group calendars for teams can be set up.

A group calendar may be a common folder where several people come up with their public records. Through this method there’s no reason to call or consult any individual if he or she is available for a meeting. This can be successfully checked in Outlook inside the suitable work schedule folder. This basically helps you to save time and effort will help you increase productiveness.

What do we use our Outlook calendar for actually? Do we need it only to organize our own time or do others have something to do with it as well? Well… It often happens that our time depends on what others do and vice versa. How can we organize our own daily Outlook calendar when we cannot be sure what others do? Being able to share Outlook calendar is something that could considerably change the way we manage our everyday activities and duties. Not only we would be able to see what others have planned in their shared Outlook calendar, but also they could do the same.

How to share Outlook calendar? There are many ways to do that, but the easiest one os to use a third party tool. You can also use Microsoft Exchange Server built-in mechanism, but in small business it doesn’t pay off to implement Exchange only to share Outlook calendar.
